Privacy Policy

1.Who we are

Octera ("Octera", "we", "us") is a listing-marketing platform for real estate brokerages and their agents. Octera is operated by Bruns Technologies LLC, a Florida limited liability company.

This policy covers the Octera web application at app.octerarealestate.com, the public property, open-house and seller-report pages it serves for brokerages, and our website at octerarealestate.com. Questions go to contact@octerarealestate.com.

2.Our role

Octera serves two kinds of people, and our role differs for each.

  • Customers and their users: brokerages, brokers and agents who sign in to Octera. For their account information, Octera decides how it is used.
  • People our customers market to: visitors to property pages, people who ask about a home, sign in at an open house, request a valuation, or are on a brokerage's contact list. Octera collects and processes their information on behalf of the brokerage, under the brokerage's instructions. The brokerage decides what it does with its leads and contacts, and its own privacy policy also applies. Contact the brokerage first about its use of your information; we will help it respond.

3.Information we collect

Account information. Name, email address, phone number, role (broker, agent, admin), the brokerage you belong to, a password stored only as a bcrypt hash, and the invitations you send or accept.

Brokerage and listing information. Brokerage name and branding, listing addresses, prices, descriptions, features, photos, videos and documents you add, marketing plans and settings, and the activity history of your listings and campaigns.

Listing data from your MLS. When a brokerage connects its MLS, we receive listing records through MLS Grid. We keep only an allowlisted set of public listing fields (for example address, status, price, rooms, remarks, photos, and links to listing videos or virtual tours). We do not import MLS fields meant only for agents, such as showing instructions or private remarks.

Information about people our customers market to.

  • Leads: name, email, phone, message, home-search preferences, and which listing or page they came from.
  • Open-house sign-ins, valuation requests and seller-report recipients: the details they enter.
  • Contacts a brokerage imports or adds: name, email, phone, mailing address and notes, and whether they unsubscribed.

Property-page visits. When someone views a property, gallery, open-house or valuation page, we record the page, the kind of view, the referring source (for example a QR code), and an approximate city, region and country derived by our hosting provider from the visitor's IP address. We do not store the visitor's IP address for this. A first-party cookie (relay_vid) lets us count repeat visits from the same browser and connect a visit to a later inquiry.

Connected social and video accounts. When you connect Facebook, Instagram or YouTube, we receive and store the access tokens the platform issues (encrypted), the account or channel id and name, its profile image, and the permissions granted. The section "Google and YouTube (YouTube API Services)" below describes exactly what we access from Google and YouTube.

Sign-in security and service logs. For each sign-in attempt we record the email entered, the IP address and the result, to slow down password guessing. Our systems keep operational logs of scheduled jobs and errors.

Octera uses no advertising cookies and no third-party analytics or tracking scripts.

4.How we use information

  • To run the service you asked for: build listing pages and marketing, publish to the channels you connected and switched on, send the emails you or your brokerage set up, route inquiries to the right agent, and show you what happened.
  • To keep it secure and working: authenticate you, slow down password guessing, detect abuse, monitor jobs and fix errors.
  • To communicate with you: service emails such as invitations, password resets, notices that something needs your attention, and replies to your requests.
  • To meet legal obligations, enforce our Terms and protect our users.

We do not sell personal information, share it for cross-context behavioral advertising, show ads, or use it to train artificial-intelligence models. Octera does not use automated decision-making that has legal or similarly significant effects on anyone.

5.How we share information

We share information only as follows:

  • Within your brokerage. Brokers and admins can see the brokerage's listings, leads, contacts and activity. Agents see their own listings and leads and what their brokerage allows.
  • Publicly, when you publish. Property pages and the posts and videos Octera publishes for you are public, or as visible as the setting you chose.
  • With the platforms you connect, only to do what you switched on: Facebook and Instagram (Meta) to publish posts, YouTube (Google) to upload videos, and your MLS through MLS Grid to receive listing data.
  • With service providers that run Octera for us under contract and may use the information only to provide their service:

  • For legal reasons: to comply with law or valid legal process, or to protect the rights, safety and property of Octera, our users or others.
  • In a business transfer: if Octera is merged, acquired or sells its assets, under this policy's protections.

6.Google and YouTube (YouTube API Services)

Octera uses YouTube API Services. By connecting a YouTube channel to Octera, you agree to be bound by the YouTube Terms of Service. Google's handling of your information is described in the Google Privacy Policy.

What we access. When you connect a channel, you grant Octera two permissions:

  • Upload videos (youtube.upload): to upload listing videos to that channel.
  • View your YouTube account (youtube.readonly): to identify the channel you connected, and to check the status and privacy of the videos Octera uploaded for you.

Octera also reads public information about YouTube videos that an MLS listing links to (whether the video exists, whether it is public, its channel and its length), using an API key and no account access.

What we store. The channel's id, name and profile image; encrypted access and refresh tokens; the permissions you granted; for each video Octera uploaded, its YouTube video id, the privacy status YouTube reports and when we last checked; and for MLS-linked videos, the public facts above. We do not access your other videos, comments, subscribers, analytics, messages or Google account contents.

How we use it. Only to upload the videos you authorised, show you which channel and videos they are, avoid uploading the same video to a channel twice, and tell you when a video was removed or needs attention. Uploads happen only on a channel you have switched on and expressly authorised in Octera; you can pause it at any time.

Who sees it. People in your brokerage who can manage that channel in Octera. We share YouTube data with no one else except the service providers above that host Octera, and as required by law. We do not sell or transfer it, and we do not use it for advertising.

How long we keep it. Octera refreshes stored YouTube data at least every 30 days and deletes what it can no longer refresh. If you disconnect a channel in Octera, we delete its YouTube data immediately. If you revoke Octera's access from your Google account, we delete it within 30 days. We keep only the channel id and a fingerprint of each file Octera uploaded, so we never upload the same video to that channel twice.

How to revoke access. Disconnect the channel in Octera's Settings, or remove Octera at Google security settings. Ask us to delete your YouTube data at contact@octerarealestate.com; we act within 7 days.

Google API Services User Data Policy. Octera's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

7.Facebook and Instagram

When you connect a Facebook Page or Instagram professional account, Octera stores encrypted tokens, the Page or account id and name, and the ids of posts it publishes. It uses them only to publish the listing posts you switched on and to show you their status. Disconnect at any time in Octera's Settings or in your Meta account settings. Meta's handling of your information is described in the Meta Privacy Policy.

8.MLS data

Listing data from an MLS belongs to the MLS and its participants and is used under their rules and licences. Octera displays only public listing fields, and only for listings your brokerage is permitted to market. Questions about the accuracy of a listing go to the listing brokerage.

9.How long we keep information

We may keep information longer where the law requires it or to resolve disputes.

10.Security

Octera is served only over HTTPS. Passwords are stored as bcrypt hashes. Tokens for connected accounts are encrypted with AES-256-GCM. Each brokerage's data is separated in the database by row-level security, and access within a brokerage follows each person's role. Sign-in attempts are rate-limited. No system is perfectly secure; if a breach affects your personal information, we will notify you and authorities as the law requires.

11.Your choices

  • Marketing email: every marketing email Octera sends for a brokerage has an unsubscribe link, honoured at once.
  • Connected accounts: disconnect Facebook, Instagram or YouTube in Settings at any time; YouTube access can also be removed from your Google account, as described above.
  • Automatic posting and uploads: each channel can be paused in Settings; nothing posts to a channel you have not switched on.
  • Cookies: you can block or clear cookies in your browser. Octera still works without relay_vid; signing in needs the session cookie.

12.Your privacy rights

Depending on where you live, you may have the right to know what personal information we hold about you, to get a copy, to correct it, to delete it, and to object to or limit certain uses. We do not sell or share personal information for targeted advertising, so there is nothing to opt out of there. We will not treat you differently for exercising your rights.

To make a request, email contact@octerarealestate.com. We will confirm your identity before acting, respond within the time the law requires (generally 30 to 45 days), and tell you if a request is one your brokerage must decide. You may use an authorised agent, and you may appeal a decision by replying to it.

13.Children

Octera is for real estate professionals and their clients. It is not directed to children under 16, and we do not knowingly collect their information. If you believe a child has given us information, contact us and we will delete it.

14.Where information is processed

Octera and its service providers process information in the United States.

15.Changes to this policy

We will post any change here with a new "Last updated" date. If a change materially affects how we use information we already hold, we will tell signed-in users and brokerage admins before it takes effect.
